synchronization
Outlook
contacts

I have a case where the Outlook Sync wasn't setup correctly, so instead of "Full job title" being synced to "Job title" field in Outlook, it populates "Prefix" field. There are simply too many contacts to fix manually.

Is there a quick way to fix this issue? Where can I access mapping criteria for Creatio-Outlook synchronization?

Thanks,

Kavian

Hi Kavian,

Could you please bring more details here?

We've tested it with our demo instance and Outlook 2016 wih all the defalut fileds in a Contact card.

Name and Full job title were filled in in Creatio and here's the result in Outlook:

Maybe, you have some custom fields in Outlook?

Thank you.

Bohdan Zdor,

 Thanks,

For example, since originally the client has populated "Title" field, instead of "Full job title", contacts in Outlook are synced with "Title" value as salutation. However, this was wrong and now, if we remove the value of the "Title" field in Creatio, the salutation in Outlook remains untouched. This is however, the exchange synchronization triggered after updating the contact record:

Bohdan Zdor,

Another question,

Is there any workaround to allow all users sync contacts to Outlook, despite the owner of the record?

Hi Kavian,

Unfortunately, it's not possible to use sync with Outlook functionality when you're not the owner of a contact. We've passed this information to our R&D to implement such functionality in future releases.

Thank you.

I'm looking for a way to delete contacts from outlook by deleting a given contact from Creatio.

Is there a quick way to purge contacts?  or can a business process be created; and if so so what object holds the contact records?

Thanks,

Kavian

Kavian Abhari,

You can try to use this add-on to achieve your business task, but by default there is not such option.

Dean

Hi Kavian,

It is not possible to delete contacts from outlook through Creatio. If the contact is delete from Creatio, it will still remain in outlook.

It is specifically designed to prevent accidental contacts deletion from outlook after deleting contacts on the website.

Dean

Dean Parrett,

Thanks for your response. I came across this Marketplace add-on.

https://marketplace.creatio.com/app/exchange-contacts-sync-creatio

One of the key features mentioned is the "deletion of a contact/contact group in Exchange based on the respective action in Creatio".

Have you ever happened to use this?

Thanks

Hello,

You can try this marketplace application to achieve your business task, I haven't used it before. But by default, it is not possible to delete the contacts from outlook by deleting the contact in Creatio.

Dear all,

We are currently trying out the synchronization of activities in the calendar between Creatio and Outlook. The expected behaviour is to have activities created in the CRM be replicated into Outlook.

To this end, in the email account settings, tab Meetings & Activities, we have selected the Automatic synchronization (with sync period 1 week) as well as the Export activities, by precising that only activities of the user's account must be replicated (we do not want to have all CRM activities of all users be replicated into our personal Outlook calendar).

Unfortunately, activities don't seem to get replicated.

I have tested it as well following indications from this page : https://academy.creatio.com/documents/administration/7-15/synchronizing-creatio-calendar-ms-exchange-calendar?document=team

As a result, the activities of the “Appointment” type will be created in MS Exchange when exporting tasks with the [Display in calendar] checkbox checked. When exporting tasks the with the [Display in calendar] checkbox unchecked, the activities of the “Task” type will be created in MS Exchange.

No matter whether the checkbox is indeed checked or not, nothing is replicated.

Is there a system setting to be adapted or any other configuration to be done ?

Many thanks in advance for the insight.

Amandine

Please try to switch off "Synchronize activities automatically", save it and then switch it on.

This action will restart the sync trigger.

If it won't help, please create a request to support@creatio.com so we could perform a more thorough investigation of the issue on your site.

Thank you.

Bohdan Zdor,

Hi,

Is this feature still available? I'm trying follow

https://academy.creatio.com/documents/administration/7-15/synchronizing-creatio-calendar-ms-exchange-calendar?document=team but there is no Mettings and tasks tab, instead I hace calendar which only allowing me to Synchronize calendar automatically.

Thanks in advance,

Chani

Hello,

Unfortunately, this function is not available in the new versions of Creatio. In new versions, it is just a toggle "Synchronize calendar automatically". In the new calendar synchronization, all additional settings are enabled by default.

If you turn on this toggle "Synchronize calendar automatically". This one option provides:

- First - calendars will be exported in real-time and imported via a quartz job once every minute;

- Participants' statuses will be displayed on the Activity card;

- Only the organizer will be able to change anything in the Activity;

- Once the activity is changed, participants will get an update.

Ideas

There is a difference between incoming and outgoing emails in the Communication Panel

But my question is if there is a parameter which separates these E-mails on the Activity object?

I can't seem to find a parameter for this.

Calls has the Direction parameter.

Activities lack this parameter

Should there be one?

Dear Julius,

This option is available. If you are talking about business process, you should use Message type lookup to select the required parameter http://prntscr.com/pbnhhm This column can also be found in the activity object http://prntscr.com/pbni9r

Note, if you try to build the filter in the section based on this column - you will not see any activities with the Email type due to the application logic. http://prntscr.com/pbnio9

Best regards,

Dean

Hi!

I try to connect with my Office365 account. But after I set the email address and entered the password, I receive a message that one of the settings are unvalid. But they are properly set.

More I´ve tried to use the Outlook connector from the marketplace, https://marketplace.bpmonline.com/app/smartcloud-connect-bpmonline, but here I receive everytime an error message. For this I have a ticket at the support team open. Has someone else got this problem?

Outlook

I am wondering about the different kinds of items available in the Outlook calendar.

Calendar item types in Outlook: Appointment, E-mail, Meeting, Contact, Task/Todo.

When my Process is creating tasks in bpm'online and it syncronizes to Outlook. The Outlook item are always of the Appointment -type.

Type in bpm'online:                   Type in Outlook (after synched):

Call                                                 Appointment

Meeting                                         Appointment

Paper Work                                  Appointment

Meeting                                         Appointment

Is there a way to make Meetings, Appointments, Todos Activities in bpm'online, synchronize as their respective types in Outlook?

Dear Julius,

As for now there is no such functionality, but I'll inform our R&D team about this issue and suggest them to implement it. Thank you for helping us to make our application better.

Best regards,

Angela
